Records Questions:

Q When will my grades be available?

A Grades are normally posted on the Thursday following finals exams. To view your grades, click here, then select Student Information Display link. To view your grades, you will need to know both your Patron ID and 4-digit PIN. This is the same ID and PIN you use to register for classes.

 

Q I am a graduate of Youngstown State University. Is it possible to view my records on-line?

A Academic records remain active for 15 years after you last attend YSU. Your records can be viewed through SID (Student Information Display). You will need both yourPatron ID and four digit PIN number.

 

Q How can I get a copy of my grade report?

A Paper copies of grade reports are no longer mailed. However, a print option has been added to Student Information Display (SID) screen.


Q I have a question about my records. Whom should I contact?

A You may contact any of the Student Services Counselors in the Records Office.

Q What is FERPA?

A FERPA(The Family Educational Rights and Privacy Act of 1974) is a Federal Act that sets forth the requirements regarding the privacy of student records. It also governs educational institutions release of records they maintain. For more information, click here.

 

 


Registration Questions:

Q I lost my Student ID. How can I get a new one?

A First, check with the Office of the Registrar (330-941-3178) to be sure it has not been found and returned. If it hasn't been found then you must go to the Bursar's Office, present proper identification (e.g. drivers license), and pay the applicable fee. Next, bring the receipt to the Office of the Registrar and your picture will be taken for the new ID. Your new ID will be ready for pick-up within two business days.


Q I need to completely withdraw from school. What is the procedure I need to follow?

A If you received financial aid for the term from which you wish to withdraw, contact the Office of Financial Aid and Scholarships prior to withdrawing. A student who wishes to withdraw from all courses in a particular term must access the 'Complete Withdrawal Option' on SOLAR (Student Online Advisement and Registration) or come to the Office of the Registrar with a photo ID. A complete withdrawal may be executed before or after classes start. Please refer to the Schedule of Classes for deadlines and reduction/refund of fees.


Q How long after I leave YSU will my PIN stay active?

A Your four digit PIN number does not change unless you change it. If you forget your PIN number, you may have it changed by bringing your photo ID to the Office of the Registrar.


Q When will the schedule of classes be available?

A Schedule of Classes are available on the web approximately one week prior to registration. Hard copies are generally available a few days before registration.

 

 

Graduation Questions:

Q Will I receive official notification about the ceremony?

A Graduation candidates who have submitted a Graduation Application to the Bursars Office will go on file at the Records office. The candidate will receive correspondence regarding commencement from the Provost and the Events Management Office. The letters will be mailed in March.


Q Where do I pick up my cap and gown?

A You may pick up your cap and gown at the Alumni House, located at the corner of Wick Avenue and University Plaza. The dates and times for cap and gown distribution will be announced at a later date.


Q I do not plan to attend commencement. When can I pick up my diploma?

A Diplomas for graduates can be picked up in the Records Office, Jones Hall, Room 1013. Please bring your YSU ID as identification.


Q I am unable to pick up my diploma personally. May I have someone get it for me?

A Anyone picking up a diploma for a student must have a letter of authorization from the student. This letter must contain the person's name and relationship to the student and the student's handwritten signature. The person picking up the diploma must present this letter to the Records Office along with a photo ID.


Q How can I get a duplicate copy of my diploma?

A Students wishing to receive a duplicate diploma must request it in writing. The request should be sent to the Records Office. The student should then contact the Bursar's Office to pay the necessary fee. When the request is received and the payment of fees is verified the duplicate diploma will be ordered. The student will be notified when the Records Office receives the diploma.

 

 

Transcript Questions:

Q How do I order transcripts?

A Transcripts may be ordered by the student in person or by mail/fax. For more details click here.


Q How long does it take for my transcript to be processed after I request it?

A Requests made IN PERSON and are picked up in person will be ready 72 business hours after the request is made. Requests made IN PERSON to be mailed out will be processed within five business days. All other requests (mailed or faxed in) will be processed within five business days after the request is received. If you mail or fax in a transcript request it can only be mailed out. There is no in-person pick up for official transcripts requested via fax or mail.

Q Will my transcripts arrive in five days?

A NO. Transcripts processing is usually five business days from the receipt of request. After the five business day processing time, the transcript leaves our office and is sent via regular mail (Post Office) and their delivery times vary. There is no charge for transcripts processed in the five business day time frame. We do not have Post Office delivery times so we can not guarantee arrival time for any request being mailed out. If guaranteed delivery is needed, there is a UPS overnight service for $25.00. If your records are "offline" or archived, additioal processing time might be required.


Q I will be graduating this semester. I need a transcript that shows my degree. How soon after the semester ends will it be available?

A This varies depending on the term. Please call our office (330-941-3182) for more information.


Q I requested a transcript to be sent to another school, but they said they never received it. Who do I contact to to see if it was sent?

A Contact the Records Office (330-941-1584) and verify that your transcript request was processed. A request will be replaced if two full weeks have passed. You will need to confirm the address and provide a contact person's name.


Q Can I order transcripts online or by e-mail?

A Transcripts requests cannot be e-mailed since a handwritten signature is required. However you can fax or send the request via regular mail and use our online form. It just can't be submitted electronically. To access the online request form, click here.


Q How soon can I order transcripts if I want them held until the end of the term for grades?

A Transcripts with current term grades can be ordered one month prior to the end of the term.

 

Q Will classes and grades from other colleges I attended be on my YSU transcript?

A NO. Only the number of transferred in hours will be on your transcripts. No details of classes or grades.
